General Ledger
The Avatar400 general ledger
allows the user to keep 12 months open at a time. In addition, another
12 months can be kept prior to the last accounting period
that is currently closed. Once an accounting period is closed, the user can open
up that period and make adjusting entries by simply changing one corporation
control record. These prior period adjustments can also be made into closed fiscal
years. Once transactions are older that 12 months they are moved into the G/L
history files where they can be inquired into, or printed on history reports.
When entries are made into the system, your companies share of the expenses are
created immediately. This allows you to run reports at any time and reflect either
your company's share, or 8/8ths.
In addition to keeping the detail of all entries made to the general ledger,
the system also keeps yearly and monthly balance records. This allows the user
to inquire, or run reports at the balance level, which is much faster than looking
at all the individual entries.

Inquiry Screens:
The system gives the user the ability to inquire into the general ledger detail
and balances.
Detail
The screen below allows you to select the general ledger account number you
wish to inquire into, along with a property number and date to begin with,
if you choose.

If you want to see more information about
an entry you see on the screen, you can enter the sequence number
of the entry and see the information shown below.
Balance
As the system makes entries to the general ledger detail file, it is also updating
the general ledger balances. These balance records show the total of general
ledger detail on a month-by-month basis. You can inquire by account, or by
account at the property level. If you are inquiring into a production revenue
account, you can look at either the dollar amounts, or the volumes for the
product.
